PMO Portfolio Manager

Purpose of the job Develop an optimized PMJ program portfolio enabling the organization to achieve the ultimate business objective while ensuring the operational governance across the organization by establishing an effective governance system and managing the system implementation. This role requires a close collaboration with Management team and influencing a wide variety of the internal stakeholders. 1 [Portfolio development & management] Lead PMJ’s program portfolio development aligned with PMJ’s commercial strategy to ensure all the business activities across PMJ effectively achieve objectives / KPIs in the Project Based Organization. This requires; - Build program roadmaps - Organize programs and sub-activities taxonomy in accordance with the mission and goals of the organization - Close collaboration with Management Team as well as Consumer Programs Function to ensure the alignment with the business, commercial and corporate strategies as well as execution priorities. 2 [Program governance] Establish an effective governance system of the programs and ensure the system functions across PMJ. This includes; - Develop a governance framework for managing PMJ calendar of business activities - Develop an evaluation scheme to identify strengths and improvement areas of the programs - Conduct program risk assessment and leverage the assessment results for Management Team’s decision making by effective communication - Conduct and manage the program reporting throughout the program delivery life cycle (e.g. KPIs / ROI / impact / effectiveness) by leading the internal stakeholders to gather the necessary data points - Ensure the reports and relating insights are leveraged in the program execution - Track long-term goals and milestones. - Research best practices within and outside the organization to establish benchmarks and use continuous process improvement disciplines to optimize portfolio governance 3 [Program budget management] Establish and manage an effective budget management framework and a financial operating plan ensuring the alignment with the program sponsors and PMJ Finance function. This includes reporting on fund allocation/priorities. 4 [Program resource management] Support Management Team with resource allocation in programs. This includes; - Workload / worktime analysis - Provide best practices in PBO - Close collaboration with People & Culture Work experience : - Proven experience (i.e. approx. 10yrs) in portfolio management. A track record of tracking and aligning Management priorities into clear governance framework. - Proven stakeholder management skills, working with business stakeholders within a cross-functional matrix environment - Business and industry acumen based on the RRP experiences obtained in business function, preferably in Sales / Marketing. - In-depth customer / consumer insights obtained in the customer / consumer facing experiences in frontline, such as in Customer Care function. Others: - Robust skills to drive project based organization in a complex and fast pace environment including Scrum, Kanban, Lean Thinking, Lean Startup, Design Thinking, Process Optimization, agile practices, patterns and techniques - Robust skills in Waterfall project management best practices aligned with the Project Management Institute framework (PMBOK) - Change management framework and practice - Stakeholder management: influence and network in a matrix environment, create a sense of community, ability to build credibility, trust, and rapport with stakeholders at all levels, demonstrate decisiveness in resolving business problems while building a collaboration, making decisions and identifying priorities - Fundamental understanding on business end to end: product, commercialization, channels and touchpoints and consumer journey. - Research best practices within and outside the organization to establish benchmarks and use continuous process improvement disciplines to optimize portfolio governance - High in communication skills with all the organizational layers: strong presentation skills, translate complex information to concise and clear communication contents, meeting facilitation with solid time management (large and diverse meeting group) - Strong logical thinking coupled with disciplined operations - High attention to detail e.g. in data management quality - Very good organization and planning skills. Plans 2-3 steps ahead. Pro-actively anticipates management governance needs - Self-starter with strong forward thinking who takes the initiative and identifies gaps in the portfolio/programs governance and makes recommendations proactively
