Your ‘day to day’ As an Executive Assistant you will be responsible for providing high level administrative assistance to the Chief Life Sciences Officer, maintaining integrity and strict confidentiality with all materials and exercising discretion when collaborating with the business. You will also be organizing team events, both internally and off-site. Additionally, you will actively promote teamwork, optimize services, and share standard methodologies and work towards continuous improvement. You will also perform other administrative tasks using independent judgement and discretion, making sure that you handle your own workload, so that these activities are completed accurately and on time. More specifically, you'll • Provide high quality and effective administrative and business support to the Chief Life Sciences Officer. Handle matters expeditiously, dedicatedly, and follow-through on projects to successful completion, often under strict deadlines. • Organize meetings, manage agendas, calendars and emails and, schedule appointments and answer/redirect routine enquiries for internal/external sources • Hold the responsibility of travel organization (flights, accommodation, visas, expense reports, etc.) and department events, site activities and team off-sites meetings arrangement • Facilitate smooth communication between the executives, departments, other assistants, employees, external parties and customers. Distribute communications, cascade announcements, reports & highlights and write correspondence. • Handle confidential information and maintain the security of the executive's records and files • Support induction process of new management team members and collaborate with Space Plan team for offices & space allocations • Act as single point of contact for the security team on-site (coordination of evacuation exercises, access management etc.). Who we’re looking for • High school degree, CFC, Business Administration diploma or equivalent; additional qualification as Personal Assistant or Secretary would be considered an asset • Demonstrated experience in a similar position • Strong capacity to influence and coach, attention to detail, action driven and specialist in organization • Ability to communicate sensitively and effectively, both verbally and in writing, with various partners • High priority setting and planning capacities, with the ability to react quickly and effectively • Strong computer skills • Fluent, well written and spoken English is mandatory.
