Your ‘day to day’ In this role with Philip Morris China, you will report to the Manager Regional Sales and will be providing administrative support to manage costs and the procurement process. You will also provide sales support to the team on daily call routing preparation, maintenance of the databases, and recording of point-of-sales (POS) and gift materials. Your accountabilities include: • FIELD FORCE LIAISON: Organize various correspondences to inform the sales force of new obligations, procedures, and other requirements to allow timely and efficient information flow between HQ management and employees in the office. • REPORTING / STATISTICS/ BUDGETING: Constantly monitor all office expenditures and provide related reports to the Sales Manager to ensure costs are within approved budgets. Prepare reports of statistical and financial information upon request to ensure management receives appropriate information in an accurate and timely manner. Collaborate with the manager in preparation of depot budget. Prepare regular Sales Force reporting. • VERIFICATION/ AUTHORIZATION AND COMPLIANCE CHECK: Process payments, invoices, vouchers according to standard routines and check for completeness and errors. Verify calculations, obtain authorizations and additional information as needed. Ensure zero non-compliance by monitoring inputs for any possible discrepancy. • DEPOT ADMINISTRATION: Ensure smooth running of the depot, including communication with the building owner, resolving depot issues, participation in inventory counts, ordering office supplies as well as personnel administration (attendance, overtime, and vacancies of the depot staff). • CAR FLEET MANAGEMENT: Control and administer pool and tool cars in line with Company Policy. Organize and maintain a filing system for all Car Fleet related administration to ensure compliance with the document retention policy. Prepare monthly report on vehicles, control and assist data collection and prompt and correct input into the car fleet database. Ensure all vehicles are properly insured and all claims processed and paid out thus avoiding any legal action or loss of funds to the company. Assist in developing, prepare and implement in co-operation with external driving trainers, driver training schemes to increase driving skills and safety of employees entitled to company car. Contribute to implementation of the optimal safety and security policy and procedures on operation of company vehicles. • MATERIAL MANAGEMENT: Administer documentation and reporting of trade materials in a proper and timely manner. Participate in inventory stock counts. Ensure proper documentation in receipts, transfers, distribution, and transportation of trade materials according to request, including communication with suppliers and organizing logistic arrangements. • SECURITY: Strictly adhere to all cash, fire and other safety and security policies, procedures, and regulations.
