It is a global, cross functional organization within PMI. At IBS, we work with our internal customers in the central functions, regions and markets, and design highly digitalized global process led solutions. The objective is to improve the experience of our internal customers through these solutions and enabling them to deliver their strategies for PMI – thereby accelerating the overall PMI transformation. Purpose of the role - Vendor Manager Service is responsible for all Vendor related obligations management – ranging from Invoice and payments coordination, business case realization monitoring, Contract management, Vendor Governance, Vendor Risk management, and Vendor Dispute and Issue resolution. Individual Accountabilities - 1. Vendor Manager is responsible for end-to-end Invoice Management – setting up the process for receipt of invoices, budgeting, review of invoices for accuracy, completeness and validity of billing, ensuring timely payment to vendor. Also, responsible to ensure that the Local Service Agreements for all billing entities are in place and valid thru the period of contract. To ensure that any service credits are billed accurately and timely. Responsible for timely reporting of Billing vs payments, variance analysis and reconciliation 2. Contract management : Responsible to ensure that all services taken from the vendor are supported by Contracts, contract extensions, new contracts or change requests. Responsible to ensure that the contract/ CR related formalities are completed in time and accurately, and version controls adequately maintained. Responsible for ensuring that all contractual obligations are tracked and complied with, and contractual rights are exercised in a timely manner to ensure that there is no adverse impact to PMI 3. Vendor Business Case Realization : Accountable to track all relevant business cases pertaining to the vendor and other P2P related business cases, and to highlight to leadership, for timely action and attention 4. Vendor Governance : To run governance process for all governance related meetings, and to ensure that agenda is setting in advance, all parties attend the meeting with preparation, pre-reads are circulated in time, minutes of meeting are circulated timely, and followed up for due closure 5. Vendor Risk management : Any risks arising out of changing laws, or any legal obligations as per contract are identified, highlighted and implemented Inter vendors relationship management : To ensure that there are clear handoffs established between the P2P vendor and other IBS vendors. 6. Dispute and issues resolution : Any disputes arising out of P2P contracts are highlighted and resolved in a timely manner. Dispute management of disputes with other IBS vendors. Education and Work Experience - 1. Finance professional with 10 + years of experience 2. Should have extensive knowledge of vendor management, with minimum 3 + years of having managed outsourced vendor contracts 3. Business Case creation, assessment and validation abilities / certification is desirable 4. Strong coordination and liaising skills are a must 5. Team management experience 6. Strong communication skills – written and verbal 7. Stake holder management skills , especially dealing with senior stake holders.
