YOUR ‘DAY TO DAY’ • Secretarial Works - Manage and update director's calendar to monitor and handle director's schedule, paper mails and calls, when needed appropriately - Prepare documents, e.g. memos, letters, reports etc., and draft outgoing mails as necessary - Review / analyze incoming memos, reports and submissions to determine their significance & handle their distribution and background research, if requested - Produce expense statements and corporate membership registration & renewal - Handle confidential information in a professional and discreet manner and keep them recorded • Administrative Support & Departmental Coordination - In coordination with the functions, produce e-forms and perform Purchase Requisitions as per need - In close conjunction with HoF and function managers, prepare presentation materials for big meetings as per request - Translate business related reports and information for the functions - Reflect changes of business activities and information whenever it occurs and make sure both departmental and relevant members are well posted - Update and distribute the Phone Directory to members on a regular basis - [M&D] Arrange induction program of new-comers and assist them on request basis - [M&D] Functional cigarette stock management - [CX] Assist in functional activities such as producing Daily Sales Volume Report • T&E - Make the T&E and consolidate all functional T&E - As a representative of the department, responsibility for final budget submission and further discussion with finance should be taken. - In order to make sure budget is appropriately spent in accordance with business strategies, it is crucial to keep all the functions posted on where they are in terms of actual monthly spent, thus facilitating them to figure out where they should be heading to - Distinguish the spent of each function and provide MTD and YTD spent in comparison with planned budget - Guide team to make expense claims compliant with T&E principles • Corporate Meeting & Event Arrangements - Lead and organize many kinds of meetings in a way that balances schedule and workflow with optimal choices laid out. - Communicate with other departments for their timely support given a meeting purpose and participants' needs - Arrange meeting rooms and make sure the arranged equipment is properly installed before a program starts. - Inform department members about venues and time of programs as well as notify program details and schedules with arranging beverages and reserve / order meals if required. - Distribute the departmental schedule to the mgmt team and members on a regular basis to help them plan joint activities, e.g. meeting with PM affiliates visitors, field visits, etc. - Organize and executive regular functional events • Travel & Visitor Arrangement - Make international / domestic travel arrangements for director and function managers proactively coordinate the pre-planning of trips with various Internal functions including arranging appropriate travel, visa, agenda and necessary contacts, web check-In and other necessary preparations etc. - Assist logistics for PM affiliates visitors and provide them requested visa documents & information, e.g. invitation letter, travel Order, certificate of business registration, contact details etc. - Plan visitor's meeting agenda during business trip and organize venue, meeting, facilities accordingly. • Expatriates Assistance - Provide requested expat support, e.g., transfer in / out process, banking, tax, visa check etc. - Assist expat family by exercising resourcefulness and dependability, in order to aid them in familiarization with their new and foreign environment - Other ad-hoc requests WHO WE’RE LOOKING FOR • Experience in supporting executives in multinational companies is highly preferrred • Highly developed interpersonal and communication skills to effectively communicate and liaise with internal and external customers, and others as required WHAT WE OFFER Our success depends on the men and women who come to work every single day with a sense of purpose and an appetite for progress.
