Your ‘day to day’: • The contract management process, including working with procurement and legal. • Budget management, including tracking/working with finance to provide updates. • Creating strategies to optimize our organization's budgets and spending. • Managing Administrative staff, including time sheet approvals, and assignments. (tech, office allocations, supplies, ensuring admins are here when SMT is here, etc.) • Tracking and facilitating invoice reviews & approvals, including requests for expediting and engaging with finance • Working with U.S. Corporate tax to answer detailed questions/provide information on the U.S. budget/cost centers so that we can file our tax returns. • Expert on PMI policies and procedures • Arrange and schedule relevant compliance and workplace training sessions, including as required for third party vendors working on behalf of the company. • Cybergrants--provide administrative support to initiate grants, input various mandatory reports • Manage future audits by Corporate Audit for the DC office. • Assist with new Employee Onboarding. • Manage Office Events. External and Internal as needed. • Assist in managing DC EA team, and play a key role in the planning, processes, objectives, and strategy • Assist Federal and State team with Lobbying reports and requirements. • List Management for various events and SMT requests, and special project management, as needed. • Work with the Office Manager on schedules, business trips, and budgets and expenses • Providing recommendations to senior leadership on process improvements • Researching opportunities, gaps, and risks, and presenting to senior leadership • Determining the best way to track performance and keep teams on track towards their goals • Monitor budgets and invoices to project spending and accruals estimates for Finance. Manage end of year accruals communications and process.
