Purpose of the role You will provide comprehensive administrative, organisational and logistical support to members of our Senior Management Team (SMT). The What 1. Calendar, Meeting Plan and Travel • Handle SMT calendars to improve efficient usage of time for both internal and external meetings. • Plan and arrange external meetings with identified partners, coordinating with relevant point of contacts. • Make travel arrangements and provide itineraries for the SMT and where appropriate other partners. • Plan and coordinate Functional Huddles and regular catch-up meetings between SMT and team members. • Solve logistical clashes independently by applying appropriate judgement and prioritisation. • Process expense statements in a timely fashion. • Proactively handle the end to end Procure to Pay process and activities, ensuring timeliness and quality. • Manage new vendor creation in SAP, ensuring accuracy of the supplier information. • Raise Purchase Orders based on required functional services. • Perform Goods Receipting to ensure service payments, based on the Proof of Performance provided by Team using the services. • Manage Invoices outside of POs (if any). • Support the planning and arrangement of events and agendas. • Prepare relevant documentation and communications to team and SMT partners. What you Bring Knowledge, Skills and Competencies • Excellent and demonstrable planning and organising skills – proven ability to prioritise, manage time effectively and use initiative as appropriate • Extensive experience in effective diary management, organising meetings and events and booking accommodation and travel • Reliable and enthusiastic with proven ability to work in a team environment, to establish effective working relationships and to connect with a wide range of people at all levels • Intermediate/sophisticated digital literacy with excellent practical knowledge and skills in using a range of Microsoft software applications, including Word, Excel, Outlook and PowerPoint • Excellent attention to detail and accuracy • Demonstrable self-awareness, pragmatism and willingness to work with others • Superior active listening skills • Ability to problem solve, and to utilise a network to do so, where required • Can maintain personal efficiency under pressure • Takes ownership of work and makes informed decisions • Dealing with confidential information in a diplomatic style Experience: • You will have significant experience in a similar administrative role providing support to an MD or Senior Leadership team • You will have worked within a global, matrixed organisation.
