The Role The Manager Ethics & Compliance (“Manager E&C”) works under the direction of the Head of Ethics & Compliance Japan (“HD of E&C”) in the implementation of PMI’s Ethics & Compliance (“E&C”) Program and in promoting PMI’s E&C culture, including i) implementing effective communications and training initiatives & maintenance of E&C related trainings and as requested by HD of E&C, ii) managing intake of compliance reports, iii) leading and/or assisting compliance investigations in the respective affiliate(s), and iv) working with all functions in identifying risks and implementing mitigating measures as part of the affiliate’s risk management processes & follow up until the implementation of risk mitigation actions by due dates. The Manager E&C also assist HD of E&C to provide regular updates to the respective affiliate head(s), management team(s) on the status of such trainings, communications, risk management, and reports/investigations (including analysis of trends in investigations, and identification of root causes/corrective measures), and any other initiatives or projects relevant to the implementation of an effective ethics & compliance program at the affiliate level. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Accountability 1 • Training: In coordination with the HD of E&C Japan, prepare and/or deliver engaging and impactful trainings in both Japanese and English at town halls, supervisor briefings or other occasions as requested by HD of E&C Japan to raise awareness of the Guidebook for Success, our Principles & Practices, and our fundamental values and behaviors, for all employees in the affiliate (including new hires, supervisors, and management team members) and, as appropriate, contracted employees/third parties. Ensure that centrally developed ethics & compliance training materials are translated and tailored for the training audience, and that live compliance training completions are appropriately recorded in a central compliance training database. Prepare and review training reports to identify areas of training needs. • Communications: In coordination with the HD of E&C Japan, support the affiliate head, management team and supervisors in setting the right “tone at the top” and “tone in the middle” to promote an organizational culture that encourages ethical conduct, and a commitment to the law, human rights, sustainability, our P&Ps and speaking up. Continue to refresh communications, training and education platforms, messages and materials in the affiliate so they are simple, easy to understand and accessible to employees. Contribute to the implementation of global/PMI Ethics & Compliance initiatives, including updating intranet sites, surveys and Guidebook updates or communications campaigns. • Speaking Up & Investigations: Act as a trusted point of contact for employees (including contracted or temporary employees) who seek guidance on compliance-related matters or who wish to discuss or report suspected misconduct. Equip affiliate management and supervisors with tools to foster a speaking up culture and to ensure appropriate handling of reports. Ensure that reports of suspected compliance violations are appropriately investigated in line with PMI Investigation standards (for non-compliance related reports, ensure that these are appropriately referred to the respective function for further handling), and that the results of investigations are documented and reported to affiliate management. Identify root causes of, and any trends in, misconduct, and work with affiliate management to address such root causes or trends as requested by HD of E&C. Monitor post-investigation actions to ensure that any disciplinary sanctions or agreed compliance-related remedial measures are implemented, and identify and address any potential retaliatory concerns, in coordination with local People & Culture. • Conflicts of Interest (COI): Promote awareness of employee obligations to disclose potential conflicts of interest; respond to potential conflict of interest disclosed in the affiliate and maintain records of such responses in the case management system. To make research necessary to perform clearance of COI as instructed by HD of E&C. • 'Compliance Risk Assessment: Support HD of E&C in conducting the Integrated Risk Assessment for the affiliate, including engaging with affiliate functional heads and/or their delegates to obtain their input on compliance-related risks, mitigation measures and implementation. Assist HD of E&C to monitor execution, maintain relevant documentation, and periodically update the affiliate management team on the status of the integrated risk plan and current/emerging risks. • Planning & Reporting: Support HD of E&C in the preparation of an ethics & compliance plan for the affiliate, including actions, accountability, and monitoring the implementation of the plan, periodically update affiliate management on the status of plan implementation. • Professional Development: Continue to expand knowledge and awareness of compliance and ethics-related subjects, as well as topics/subjects related to new technologies, new ways or working, or our transformation, whether through participation in internal/external conferences or training programs, self-study, attendance at professional association meetings, or external benchmarking. Participate in cross-functional project teams and/or regional or global business projects or initiatives. Apply and share learnings across the Ethics & Compliance Department, Law Department, and other functions, to promote continuous improvement. • Drive data-driven recommendation on websites traffic pattern, navigation behavior and A/B testing effectiveness. Performed and designed system test, use cases, front-end contents, integration test dependencies and validate test results against requirements QUALIFICATIONS Work experience • At least 5 years background in corporate governance, law, compliance or related fields. • We need people with interviewing skills so person who is comfortable meeting with different level of personnel’s in the organization, do not hesitate to liaise with other department, willing to and self motivated to go ask to the person who has knowledges to support investigation processes, not afraid to pick up phone and make a call, comfortable in working with peers and supervisor on remote working space, positive mind set. • We also looking for the person who has analytical skills or experience in understanding data. • Native level Japanese is a must, high fluency in English preferred.
